Document Groups let you create your own named folders for files that are not tied to a specific LifeAxis entity. Use them for things like tax returns, school records, warranties, or anything else you want to keep organised and easy to find.
Each group you create gets its own subfolder in your Google Drive under LifeAxis/📄 General/[Group name]/, so your Drive stays tidy without any manual setup.
Creating a group
- 1Open the Document Library on desktop and switch to the Grouped view (the layers icon in the top right)
- 2Click New Group in the toolbar
- 3Enter a name for the group (e.g. "Tax Documents", "School Records")
- 4Pick an icon from the grid — this is shown on the group card in the library
- 5Pick a colour — applied to the icon so different groups are easy to tell apart at a glance
- 6Click Create Group
The group appears immediately in the library even before any documents are uploaded to it.
Adding documents to a group
From the grouped library, find the group card and click the + button in the card header. The upload sheet opens with the group already selected — any files you upload go straight into that group's folder in Drive.
On mobile, tap the group in the groups list to open it, then tap the + button in the top-right corner.
You can also move an existing document into a group from the edit dialog. Open any document's … menu and choose Edit Document, then use the Linked to section to change or set the link to a custom group.
Editing a group
Hover over a group card on desktop to reveal the pencil icon. Click it to open the edit dialog where you can change the name, icon, and colour. On mobile, tap a group to open it, then tap the pencil icon in the header.
Renaming a group does not rename the folder in Google Drive — the Drive folder keeps its original name. The new name is reflected in LifeAxis immediately.
Deleting a group
Open the group and click Delete group at the bottom of the card (desktop) or at the bottom of the group detail screen (mobile). Documents that were in the group become unlinked but are not deleted — they appear in the Unlinked section of the grouped library and remain in your Google Drive.
Moving documents between groups
Open the document's … menu and choose Edit Document. In the Linked to section:
- If the document is already in a group, click Change to pick a different group
- Click Remove to unlink the document from any group
- If the document has no group, click Link to entity and choose Custom Group from the list
The file itself stays in its current Drive folder — the link in LifeAxis is updated, not the file location.
On mobile
The document library on mobile opens to a list of all your groups — both custom groups and entity-backed groups (vehicles, properties, etc.) — sorted alphabetically. Each group card shows:
- The group icon and name
- A document count badge
- The filename and upload date of the most recently added document
Tap any group to see its documents with search and sort controls. Tap the back arrow to return to the groups list.
In the grouped library (desktop)
Custom groups appear alongside entity groups in alphabetical order. Each card shows a collapsed preview of the most recently uploaded document. Click the card header to expand and see all documents in the group. The search bar hides groups that have no matching documents, making it fast to find what you are looking for.
