Tags and search work together to help you find documents fast. Tags are short labels you add to a document — the search bar then lets you filter by filename, description, or any tag across your entire library.
Adding tags
You can add tags when uploading a document or at any time from the edit dialog.
When uploading: the upload sheet includes a tags field. Type a tag and press Enter or the + button to add it. Add as many tags as you like before confirming the upload.
After uploading: open the document's … menu and choose Edit Document. The Tags section shows any existing tags and an input to add new ones. Click the × on any tag to remove it.
Tags are freeform — there is no predefined list. Use whatever labels make sense for you: tax-2025, urgent, warranty, original, to-renew, and so on.
Searching documents
The search bar at the top of the Document Library filters documents in real time as you type. It matches against:
- Filename — any part of the file name
- Description — the description you added when uploading or editing
- Tags — any tag attached to the document
In the Grouped view, groups that contain no matching documents are hidden entirely, so only relevant groups remain visible. This makes it fast to scan for a specific file without scrolling through unrelated groups.
In the List view, the search filters the flat list of all documents.
Sorting documents
Use the sort controls to order documents by:
| Option | What it does |
|---|---|
| Recent | Most recently uploaded first (default) |
| Name | Alphabetical by filename |
| Size | Largest or smallest file first |
| Type | Grouped by file type (PDF, image, Word, etc.) |
Click the arrow toggle next to the sort selector to switch between ascending and descending order.
Tips for staying organised
- Use a consistent tag format for recurring categories:
tax-2024,tax-2025so you can search all tax documents by typingtax - Tag important documents with
originalorcertifiedso you can filter for them quickly when needed - Use
to-renewon insurance schedules and certificates approaching expiry — search for it as a quick renewal checklist - Add a description when uploading — descriptions are searchable and give context when a filename alone is not clear enough
